Apex Lockers - Automated SMS Notifications

The Apex Lockers integration with Prokeep allows distributors to seamlessly notify customers via SMS when an order is ready for pickup at a locker.

Overview

Prokeep’s APEX Locker Integration allows your business to automatically text customers when their orders are ready for pickup at an APEX Smart Locker.

When an order is placed into a locker and closed, APEX sends an update to Prokeep. Prokeep then sends a message to your customer that includes their order details and a barcode or QR code they can scan to retrieve the order.

This makes it easy for your customers to know exactly when and where to pick up their order — and it all happens automatically through your existing Prokeep number.


Requirements

To use the APEX Locker Integration, your Prokeep account must:

  • Be on Prokeep Plus with API access enabled.

  • Have lockers set up and configured through APEX Supply Chain Technologies.

If you’re not sure whether your account qualifies, contact your Prokeep Customer Success Manager (CSM) or Account Manager.


Workflow

  1. The distributor places an order in an APEX locker.

  2. When the locker is closed, APEX sends an update to Prokeep with the order status marked as “Ready for Pickup.”

  3. Prokeep sends the customer an SMS containing:

    • Order number

    • Status message

    • Locker number

    • Barcode or QR code to open the locker

  4. The SMS thread is automatically created and closed.

  5. If the customer responds to the message, a new thread is created in the Prokeep inbox as usual.

Setup

Because this integration involves configuration work between Prokeep and APEX, setup is coordinated by both teams.

  1. Initiate Setup: Your APEX representative will contact Prokeep to start the integration.

  2. Configuration Details: You’ll be asked to confirm:

    • Approval to enable the integration

    • Which Prokeep group(s) notifications should send from

    • The message template you want to use

    • The barcode type (QR or ITF)

  3. Integration Activation: Once confirmed, Prokeep and APEX will handle the technical setup and testing.

  4. Testing: APEX sends a test order notification to confirm that messages are received correctly.

  5. Go-Live: Once validated, notifications will automatically send when lockers are used.


Message Template Options

You can choose one of the standard templates below, or work with Prokeep Support to customize your own.

  • Trajectory Standard:
    “Your [Account] order [Order #] is ready for pickup at our locker in [location]. Please enter [code]# or scan the [barcode] to retrieve your order.”

  • ApexIQ Standard:
    “Your [Account] order [Order #] is ready for pickup at our locker in [location]. Please enter [code] and press enter or scan the [barcode] to retrieve your order.”


Opt-Outs for Automated vs. Conversational Messages

Customers can manage message preferences separately:

  • Conversational messages: Reply STOP to opt out.

  • Automated messages (via Eclipse): Reply X to opt out.

This allows customers to stop automated texts while still receiving direct messages from your branch.


Notes

  • Billing: Outbound text messages sent programmatically via our API are billed monthly — $0.01 per SMS and $0.03 per MMS. Customers using API integrations must have an electronic payment method on file for billing.

  • Customization: The default workflow suits most users, but custom message templates and workflows can be created on request.

  • Organization-Wide Integration: The APEX Locker integration is configured for all sites and locations under your Prokeep organization. It cannot be enabled for only certain branches.
