BCC's and Aliases in Prokeep for Microsoft O365

Outlines how to enable BCC and Alias emails to deliver to Prokeep for customers using O365 accounts

Prerequisites

To implement this solution, you must have Administrator Access to Microsoft Exchange. 

Building the Rule

From the Microsoft Exchange Admin Center, Go to Mail Flow, then click Add a rule, then Create a New Rule.

From here:

  • Apply this rule if The recipient is  [enter your email address here]

  • Do the following Redirect the message to [enter your email address here]

  • And Add recipients to the To box [enter your email here]

How does this work?

When you receive a BCC, or an email that comes to you by way of an alias, your email address is not mentioned anywhere in the recipients list. As a result, that email cannot be identified  by Prokeep once it is redirected to our Amazon S3 environment or by Microsoft GraphAPI once it lands in the corresponding Outlook inbox. As such, those emails cannot be brought into Prokeep as there’s no way to associate the BCCd or Aliased email with your email address. 

 

This rule immediately redirects all received emails that back into your inbox, and adds your email address to the “To” field. This way GraphAPI and Prokeep can know that this email is associated with your email address, and can therefore associate the email with your Prokeep inbox. As the rule applies a “redirect” and not a forward, it is considered as coming “From” the original sender, and if your email address was already in the “To” field then it does nothing and emails still arrive normally.
