Tags are a powerful tool in ProKeep that help you categorize, identify, and search for specific conversations. They serve as keywords that can be attached to threads to organize and retrieve information efficiently.
How to Add a Tag to a Conversation

Navigate to the Message: Open the thread you'd like to tag. This can be any open or closed thread that requires categorization.

Add a New Tag:
- In the upper right corner, select Add New Tag.
- Type the word or keyword you'd like to assign. Press enter to save it.
- If you want to use an existing tag, start typing the keyword, and Prokeep will suggest matching tags for quick selection.
Adding Tags When Composing a Message
Tags can also be created and applied when you create a message.
- When drafting an outbound message to a customer, an internal message, or an email, you can assign a new or existing tag on the spot by clicking "Add New Tag" above the message box.
Practical Uses of Tags
Tags can be helpful in various scenarios:
- Organize by Job Number: When reviewing messages, assign tags based on relevant job numbers for easy reference.
- Track Customer Connections: If the conversation involves an external user, like an outside salesperson, you can tag it with identifiers such as "VIP customer." This allows sales personnel to quickly find messages related to their clients.
- Prioritize Urgent Items: Use tags like "urgent" or "red label" to track time-sensitive tasks, such as shipments that need attention by a specific deadline.
Searching with Tags
Prokeep’s search function allows you to look up conversations using tags, enabling faster retrieval of specific threads. Whether it's a tag identifying a job number, a customer name, or a priority level, simply type the tag into the search bar to locate all related messages.
